Hospitality Desk
A CooperVision Hospitality Desk will be located in the hotel. The hospitality desk will be operated by our staff who will be available to answer questions and assist you.
 
 
What is the attire for the meeting?
Meeting dress is Business casual for the CooperVision 2019 Americas Sales Conference.
Evening events:
  • Monday and Tuesday’s on-property evening events are scheduled to take place outdoors. Attire is casual (jeans are acceptable). A jacket, sweater and / or closed toed shoes are recommended.
  • Wednesday's off-site evening event is an authentic western theme. Again, taking place outdoors, warm clothing in addition to cowboy boots, hats and other themed western wear is encouraged. (Several Best Dressed Western Theme prizes will be awarded!)
  • Thursday’s CooperVision Awards Night Reception and Dinner attire is cocktail for women and suits for men.
     
Name Badge
Please wear your name badge at all planned activities and to identify yourself as a member of the CooperVision group.
 
 
Computer Turn In
Upon arrival at the ASC, field sales and other remote employees will turn in your laptop for routine updates.  An email will be sent when your laptop is ready for pickup.  In advance of the ASC, you will receive instructions on how to download updates for your iPad and iPhone.
 
 
What will the temperature be like in December?
Average temperature for December is high of 66 and low of 44.
 
What are the check in & check out times at the hotel?
Check-in time is 4:00 PM and check-out time is 11:00 AM.
 
When do I need to arrive and depart from the hotel?
Travel arrangements will be made so that you arrive in San Antonio on Monday, December 10, 2018, by 4:00 PM. Departures can be anytime on Friday, December 14, 2018.
 
 
Can I upgrade my room?
Due to limited upgraded rooms at the hotel, room upgrades are not available.
 
 
May I extend my stay at the JW Marriott?
Pre/post-extensions are based on availability and are at the expense of the participant. If you wish to extend at the JW Marriott prior to Monday, December 10 or after Friday, December 14, please indicate your requested dates during the online registration process. The cost per night is $165 plus tax. The CooperVision ASC registration manager will contact you with the applicable rate and request your credit card number to pay for the additional charges. All pre/post extension charges will be your responsibility; including additional air costs, airport transfers, hotel room night costs and meals.
 
 
How do I handle check-out at the hotel?
You must pay for any additional charges put on your incidental account with the hotel cashier prior to your departure. Make sure you check out of the hotel well in advance of your departure time.
 
 
Are children or spouses allowed on this trip?
It is not appropriate to bring children or spouses on this trip.
 
    Expenses
    Personal expenses incurred during your trip to the ASC in San Antonio should be submitted through Concur using Dept. Code 1092 – Amer Sales Conference.  These expenses include parking, Uber/Taxi and meals while traveling. Due to the length of the conference, please use long-term parking or arrange for ride share/taxi if possible.
     
     
    What should I do if I have any medical problems?
    Please consult your physician for recommendations prior to departure. You should carry any prescription medicines with you during your travels. Please do not pack them in your suitcase during the flight. If an emergency arises during the trip, contact the hotel’s front desk immediately for prompt medical attention and then notify CooperVision Event Staff. Please note any special medical needs you currently have on the registration page.
    PLEASE NOTE: Medications must be properly labeled with a professionally printed label identifying the medication and manufacturer’s name or a pharmaceutical label. The prescription medicine must match the name on the passenger's ticket.
